Which personal data belonging to ‘customers and suppliers’ do we process and why do we do so?

We collect data from customers, business partners or suppliers through personal contacts, telephone calls and email, for example if you contact us and make an enquiry. The personal data categories that we process from our business partners may include:


  • Contact details: Telephone number and/or email address.
  • Address information: First name and surname, titles, address, place of residence.
  • Other personal data: Sex, job title and department, contents of communications referring to an individual.
  • Company information: Company name, company address, company telephone number, business email address.
  • Bank and payment details: Bank details such as the bank account number.
  • CCTV images: Camera surveillance/surveillance images;

We may process personal data by using so-called cookies if you visit our energyra.com website. We explain what cookies are and which ones we use in greater detail in this privacy statement.

To maintain and improve our website, to monitor the performance and use of our website and to improve your browsing experience.

Which personal data belonging to ‘job applicants’ do we process and why do we do so?

Energyra processes your data via the online application form and the curriculum vitae (CV) that you attach. We also collect data through personal contacts, telephone calls and emails. As is the case with customers and partners, we also process personal data relating to job applicants, i.e. contact details, name and address details and other personal data, and we do so for the same purposes and based on the same grounds. In addition to the personal data mentioned above, we also process the following information belonging to job applicants:


  • Contact details: Telephone number and/or email address.
  • Address information: First name and surname, titles, address, place of residence.
  • Application information: curriculum vitae, motivation letters, references and certificates.

Special and sensitive personal data

We may process sensitive and/or special information if you apply for a job with us. Among others, CSNs are considered to be sensitive information. You don’t need to mention your CSN in your CV if you apply for a job with us. 


We expressly prefer not to receive special personal data. ‘Special personal data’ means information about your:

religion or philosophical beliefs; race/ethnicity; political preferences; health;

sexual orientation; membership of a trade union; criminal records and a passport photo.


We expressly prefer not to receive this information because we don’t need it to provide our services. If you choose to send us special personal data in your CV, we cannot guarantee that we will not store this information unintentionally.


If that is the case, we will assume that you have given us permission to process the special personal data. It goes without saying that you are always entitled to draw our attention to the personal data you have submitted and ask us to delete it.


How long do we keep your personal data?

We will not store your personal data for longer than is strictly necessary to achieve the objectives for which it is collected. The retention period depends on various factors. In certain cases, Energyra is obliged to retain your information for at least seven years due to a legal obligation. This is the case, for instance, if it concerns information about invoices, orders and payment details. 


Camera images are not kept for longer than four weeks, unless there has been an incident. In which case, we keep the images until the incident has been dealt with.

We delete job application information four weeks at the latest after the end of the application process. We may, however, ask you if we can keep your data for longer, for instance, because a suitable position may become available for you at a later date. In that case, we keep the information for one year at most after completing the application procedure.


Who has access to your information?

Employees who need the information to carry out their work are the only ones who have access to the system, or part of it, in which your data is stored. Authorisation for access to the system is done based on roles. These authorisations are granted according to set procedures under the responsibility of the manager of the department that processes your information.


Sharing personal data with third parties

Personal data is processed by our employees, partners or business relations. For instance, we may engage service providers (‘processors’) to process your personal data; they process personal data exclusively on our behalf. We enter into a data processing agreement with these processors, one that meets the requirements of the General Data Protection Regulation (GDPR). For instance, we work with service providers who provide software and/or hosting services. We also engage ICT service providers who support us with keeping our systems secure and stable.


Energyra only grants third parties access to personal data on a need-to-know basis. In other words, this access is limited to the processing of personal data that is purely necessary to perform the required work. We don’t use personal data and/or make it available for commercial or charitable purposes.


Processing your data in countries outside the European Union

Your information may be stored in non-EU countries, if Google Analytics and LinkedIn are used in contacts with you. These organisations are certified in terms of the ‘EU-US Privacy Shield’, so they comply with European privacy regulations.

The Energyra website uses cookies. A cookie is a text file, or part of one, that is stored in the browser of your computer, tablet or smartphone when you first visit the website. We use the following cookies on our websites:


Functional cookies

These cookies are necessary to provide you with the services and functionalities you have requested. They ensure that the website works properly and that your preferred settings are remembered, as an example. We also use them to improve our website. We use two kinds of functional cookies:


Permanent cookies

We can recognise you when you visit our website again by using a permanent cookie. This is how the website configures your preferences. Also, if you give us permission to place cookies, we remember this using a cookie. This means you don’t have to repeat your preferences over and over again, which in turn saves you time and makes it easier for you to use our website. You can remove permanent cookies via your browser settings.


Session cookies

We can see which parts of the website you viewed during your visit by using a session cookie. This makes it possible for us to adapt our service as much as possible to the surfing behaviour of our visitors. These cookies are automatically deleted as soon as you close your web browser.


Analytical cookies

These cookies make it possible for us to recognise the number of visitors, and to keep track of visitor statistics and the surfing behaviour of visitors to our website. This gives us a better insight into the functioning of the website. For this, Energyra uses Google Analytics, the Google Inc. web analysis service. We record your computer’s IP address when placing these cookies. Energyra cannot see who (which PC) is visiting its website. Google can see who is on the website as part of their service.


Tracking Cookies

Third parties also place ‘tracking cookies’ on our website. Social networking sites use cookies to customise the content of social plug-ins or to analyse on which sites their users are active and how their services are performing. Below is an overview of third-party cookies: 

  • Google Analytics: for relevant advertising campaigns, analysing visits and traffic sources and conversion tracking.


Refusing cookies

We only place cookies if you have given us your permission in advance. You can change your cookie preferences or withdraw your permission at any time. To do this, click on the ‘Cookie Settings’ icon, which is at the bottom left of all the pages on our website.

Your rights, accessing information, changing or deleting data


Right of access

You always have the right to ask for your data that we record and store. You can do this by sending an email or contacting Energyra by phone. We will then send you an overview of your information.


Right to rectification

If your information is not correct, or if your information has changed, you have the right to have us correct it for you.


Right to transfer

If you need the data stored at Energyra if you switch to another organisation or service, you have the right to have it transferred. For this, Energyra is obliged to transfer your data to another party.


Right to the erasure of data

If you no longer want your data to be recorded at Energyra, then you have the right to have your data erased.


Right to stop data use (objections)

If you don’t want Energyra to use your data, then you have the right to have the use of your data stopped.


Right to submit a complaint

You can exercise these rights by sending an email to info@energyra.com. To be sure that you are the one making the request, we will ask you to send a copy of your ID along with the request. Please black out your passport photo, the MRZ (i.e. the machine readable zone, the strip with numbers at the bottom of the passport), your passport number and citizen service number on this copy. This is to protect your privacy. We will respond to your request as quickly as possible, but in any case within four weeks.


How do we protect your personal data?

We take the protection of your data seriously and have put appropriate measures in place to prevent misuse, loss, unauthorised access, unwanted disclosure and unauthorised modification. To this end, Energyra uses various security techniques including secure servers, a secure SSL connection, firewalls, passwords and the physical security of rooms in which data is stored.
